Okupio is an event management platform. Our registered address is Okupio Ltd, and you can reach us at privacy@okupio.com for any data-related queries.

We act as a data processor on behalf of the organisations (event organisers) who use our platform. Those organisations are the data controllers for their attendees' personal data.

When you register for an event through Okupio, the event organiser collects your name, email address, phone number, company, and any other details required for the event (such as dietary requirements or accessibility needs). Okupio stores this on the organiser's behalf.

When you visit an Okupio-powered page, we may use essential cookies to make the page work correctly. If you accept analytics cookies, we use anonymised data to understand how pages are used.

When an organisation signs up to Okupio, we collect account details (name, email, company, billing information) to provide and bill for the service.

We use the data we hold to:

• Deliver the event registration and management service
• Send booking confirmations and event communications on behalf of organisers
• Process payments securely through Stripe
• Provide customer support to platform users
• Improve the reliability and features of the platform

We do not sell your data to third parties. We do not use your data for advertising.

We share data only with trusted service providers who help us run the platform, including:

• Stripe — payment processing. Your card details go directly to Stripe and are never seen or stored by Okupio.
• Email delivery services — for sending confirmations and campaign emails.
• Cloud infrastructure providers — for hosting and storing data securely.

All providers are bound by data processing agreements and operate under GDPR-compliant frameworks.

Each organisation on Okupio can configure a data retention policy (6 months, 1 year, 2 years, or indefinite). After the chosen period following an event, attendee personal data is automatically removed. Anonymised statistics are kept.

If an organisation's subscription expires, their data is held for 90 days (annual plans) to allow export, then deleted.

Under UK and EU data protection law, you have the right to:

• Ask to see all the data held about you (Subject Access Request)
• Ask for your data to be corrected or deleted
• Object to how your data is being used
• Ask us to restrict or stop processing your data

To make any of these requests, contact the event organiser directly (they are the data controller), or email us at privacy@okupio.com and we will route your request appropriately.

We use essential cookies to make pages work correctly (for example, to remember your session). We ask for your permission before placing any non-essential cookies such as analytics. You can change your choice at any time by clearing your browser cookies.

All data is encrypted in transit using TLS. Access to personal data is restricted to authorised staff and the organisation's own administrators. We conduct regular security reviews.

If we make significant changes to this policy, we will notify platform users by email. The date at the top of this page shows when it was last updated.
